How do I disconnect from Xero?

As the workspace owner, go to Settings → Xero and choose Disconnect from Xero. PORTALD removes its access and the customer matches straight away, and tells Xero.

You can also do it from Xero: open Settings, then Connected apps, find PORTALD and choose Disconnect. See How to disconnect for what happens next.

02

Can PORTALD change anything in my Xero?

No. The connection is read-only. PORTALD reads contacts, approved and paid sales invoices, and money received. It never creates, edits or deletes anything in Xero.

03

Do I need Xero to use PORTALD?

No. Checklists, forms, files, contracts, photos and updates all work without it. Xero adds invoices and payments to your customers' portals, and you can connect it at any time.

04

What do my customers see?

  • Your business name, logo and colours, on your own portal address.
  • What you've asked them for, with what's still needed and what's done.
  • Files and photos you share with them, and updates you post.
  • If Xero is connected and they're matched to a Xero contact: their own invoices, money they've paid you and invoice PDFs, under Financials.
05

My customer can't see their invoices

  1. 1Check the customer is matched to the right Xero contact: open them in PORTALD and look at Map this customer.
  2. 2Check the invoice is approved or paid in Xero. Drafts and voided invoices are never shown.
  3. 3Check Settings → Xero says Connected. If it says it needs attention, the owner should choose Reconnect Xero.
  4. 4Check the customer is signed in to your portal with the email address you invited.
06

Why does Xero say it needs attention?

PORTALD couldn't read from Xero with the access it has. Usually someone disconnected PORTALD in Xero, the Xero organisation changed, or the connection wasn't used for a long time. The owner gets an email, and choosing Reconnect Xero in Settings → Xero fixes it. Your customer matches are kept unless you connect a different organisation.

07

I have more than one Xero organisation

Each PORTALD workspace connects to one organisation. If your Xero login can reach several, choose the right one in Settings → Xero. Switching clears the customer matches, because contacts belong to one organisation.

08

Can I sign in with my Xero login?

Yes. Choose Sign in with Xero on the sign-in page. To use it with an account you already have, sign in with your password first and turn on Sign in with Xero in Settings → Security. Everyone on your team can do this for their own login, not just the owner. PORTALD never links a Xero login to an account just because the email address matches.

09

Why do I need two-step sign-in to connect Xero?

Your Xero connection shows customers their invoices, so PORTALD protects the account that controls it. Turn it on in Settings → Security with an authenticator app such as Google Authenticator or Microsoft Authenticator. You'll get recovery codes in case you lose your phone. Signing in with Xero counts too, because Xero asks for its own second step.

10

A customer forgot their password

They can choose Forgot your password? on your portal's sign-in page and enter their email. If the email is on your portal, they get a link to set a new password. You can also send a fresh login from their page with Invite to portal.

11

What does it cost?

The first 14 days are free and you don't need a card. After that, Solo is £25 + VAT a month for up to 100 customers, if you add a card and carry on. The Xero connection is included in every plan.

12

How do I get help?

Email hello@portald.co.uk and a real person will reply. Please don't send passwords or customer files by email.
