Start with one clear document checklist

To collect documents from clients, give them a short checklist, one place to send the files and a clear deadline. Review each submission, then follow up only on the items that are missing or need replacing. A file arriving is the start of the review, not proof that you have everything you need.

Before sending anything, separate what you need to start work from what can wait. Give each item its own name and instructions. A request for “the paperwork” leaves the client guessing.

  • Document: name the file or information you need.
  • Version or dates: specify the current version or the period it must cover.
  • Format: say whether you need a PDF, a clear photo or an editable original.
  • Deadline and reviewer: say when it is needed and who will check it.
Ask only for information needed for the work. Decide who should have access and how long files should be kept before choosing a collection method. Explain your requirements to the client.
02

Example: documents for a website project

Use this as a starting point and replace the items with the documents your own service needs. Give one person responsibility for checking the whole list before the kickoff meeting.

  • Project brief: the agreed goals, pages and main contact, in a form or document.
  • Brand assets: the current logo as SVG or PNG, plus the latest brand guidelines if available.
  • Website copy: one editable document with a heading for each page; mark unfinished sections clearly.
  • Service terms: send your terms for acceptance and keep the response with the project record.

Keep contact questions in a form, files as upload requests and terms as an agreement. That makes it clearer what the client should do with each item.

03

Choose one place for clients to submit files

Email can work for an occasional file. As the list grows, it becomes harder to tell which attachment is current and what is still missing. A shared folder gives files a home, but you still need a checklist and a review process alongside it.

A document upload portal can put the request and submission together under a client login. Choose a method your client can use on their phone or computer, and explain where the files should go. Avoid splitting one request across email, messaging apps and several folders.

Check the access controls and data-handling information for the service you choose. For PORTALD, read our security and data-handling information. A portal does not remove the need to decide what is appropriate to collect.

04

Send a specific document request

Make the next action obvious. Explain why you need the documents, where to send them and the date you need them by. Adapt this example to your own checklist:

Subject: Documents needed before our project kickoff

Hi [name],

Before we start your website project, please send your project brief, current logo and website copy, and accept the service terms, by [date]. The checklist explains the format for each item.

Open your checklist here: [checklist link]. Please submit the files there so we can keep the latest versions together.

If an item is unavailable or you need more time, let me know which one. I will check the submissions and tell you if anything needs replacing.

Thanks, [your name]

Use a real calendar date. If different items have different deadlines, write that beside each item rather than relying on “as soon as possible”.

05

Review submissions and chase only the gaps

Keep three states separate: missing; received and awaiting review; and checked. Confirm that each file opens, is readable, belongs to the right client and covers the requested version or dates. Name the problem when asking for a replacement.

“Please resend the logo as an SVG or PNG; the PDF is the brand guidelines” gives the client a useful next action. “Wrong file” does not.

For a follow-up, keep the message short and acknowledge what is already complete:

Thanks for the brief and logo. We still need the website copy and your acceptance of the service terms before kickoff. Please complete those two items at [checklist link] by [date]. If either will be delayed, let me know so we can agree the next step.

Agree who owns follow-ups and when they will check progress. Once an item is complete, remove it from the chase list. Confirm with the client when you have everything needed to start.

How to collect client documents in PORTALD

PORTALD brings the checklist, uploads, forms and accepted terms into one customer record. Your team reviews the submissions and sees the remaining gaps.

  1. 1In Checklists, create a list and add the document requests, forms and agreements you need. Include clear instructions for each item.
  2. 2Add your customer and invite them to the portal. Use Send to customers on the checklist to assign it; they receive an email.
  3. 3Review incoming items from Home. Approve usable submissions or ask for another copy with a reason.
  4. 4Check what remains outstanding and how long it has been waiting, then decide who to follow up with.

Owners and admins can choose Send a reminder for customers with outstanding checklist items. Your team controls when to send it; there is no automatic reminder schedule. For more detail, see document collection software or the customer onboarding portal.

Questions about collecting client documents

What is the best way to collect documents from clients?

Use one clear checklist, a shared place to submit files and a named person to review them. Explain what each document must contain and when you need it. Track missing items separately from files that have arrived but still need checking.

How do I ask a client for missing documents?

List only the outstanding items, link back to the original request and give a specific deadline. If a document cannot be supplied, ask the client to tell you so you can agree the next step. Avoid sending the whole original list again when some items are already complete.

Can PORTALD send automatic document reminders?

No. Owners and admins can choose Send a reminder for customers with outstanding checklist items. PORTALD shows what is missing and when a customer was last reminded, but your team decides when to send a reminder. There is no automatic schedule.
